Business Office Student Information

The Business Office is responsible for ensuring that student accounts are accurate for collecting any overdue balances. A Business Office Hold is placed on accounts when monies are owed to the college. Students with a Business Office Hold on their account will not be able to register for classes, receive a transcript, or graduate until the account balance is $0.

Student accounts more than 60 days past due will be submitted to the North Carolina Department of Revenue Debt Setoff Unit and Williams & Fudge Collection Services for collection.

Why would a student have a Business Office Hold on their account?

The most common reasons for a Business Office Hold on a student are:

  • Insufficient aid to cover balance in full
  • Remaining balance on a term
  • Parking Citations
  • Library Fines
What should students do if they have a Business Office Hold?

Check Self Service.

If a student is unsure about why there is hold on their account, they should email Annette Straub for curriculum classes or Jennifer Oxendine for continuing education classes.

Why is Self Service showing a balance when a student has withdrawn and/or dropped a class?

Withdrawing from or dropping a course does not release a student’s financial responsibility for tuition and fees. A 25% penalty is incurred when a class is dropped without adding a class first. A student is financially responsible for 100% of tuition and fees when he or she withdraws from a class after the add/drop period.

When can a student expect a Financial Aid refund?

See the Important Dates tab on the RCC Financial Aid page.

Why did I receive a form 1098-T?

Form 1098-T contains information to assist the IRS and students in determining if they are eligible to claim educational-related tax credits or deductions on the income tax return.

The 1098-T form will be mailed to the address on file as of January 31. Review address in Self- Service.

Will I receive a bill in the mail now that I am registered for classes?

RCC mails statements for current balances within 60 days of the start of the term. It is recommended students check their account regularly in Self-Service after registering for classes.

Will I receive a bill in the mail for my past due balances?

RCC will mail two billing statements to the student’s address on file. Students whose past due balance is less than a year old may view their statement in Self-Service. Students may also call the Business office at 910-272-3548.

Students whose balance is 60 or more days old will be subject to RCC’s Collections Policy.

Collections Policy:

Students are responsible for any and all amounts due on their accounts. Failure to pay any balance in full may result in:

  • The student will not be able to register for classes.
  • The student will not receive grades or transcripts.
  • The account will be turned over to the North Carolina Department of Revenue for collection.
  • The account will be turned over to a collection agency.

Student accounts must be paid in full within 60 days of the due date to avoid collection procedures.

When will students receive refunds?

For cash, check, credit card, or money order refunds, students should receive all or part of their tuition refund within two weeks of the date the payment created a credit balance on the student account. See Refund Policy.

For financial aid refunds, see the Important Dates tab on the RCC Financial Aid page.

Can students pick up their refund check?

No. RCC policy requires the Business Office to mail refunds to the address on file. Students can verify the address on file by logging into Self-Service and can update the address in the portal. You may also call the Business Office at 910-272-3548 for assistance. Note: Name changes cannot be made online.
